Service Administrator

Salary: From £26,910 per year

Location: Near Aberystwyth

Job Type: Full time, Monday-Friday

Contract: Permanent

Bilingual language skills: Welsh language skills (preferred)

ABOUT THE ROLE

We are a family-run hot tub dealership looking for a highly organised Service Administrator to support our team of hot tub/swim spa technicians. The role requires organisational skills, an ability to use CRM and booking systems such as Quickbooks and Jobber and experience working as part of a team. Knowledge of hot tubs/swim spas is desirable, but not essential, as full training will be provided. The successful candidate will be working alongside our technical staff, and will report to the managing director. Welsh language skills are desirable.

MAIN DUTIES:

  • Ensure a minimum of two weeks’ work is booked ahead for all technicians using relevant software, ensuring efficient use of time through planning locations effectively where possible
  • Ensure customers are prepped ahead of technician visit – eg are informed hot tub or spa must be full, warm and chlorinated before service, updated on time changes, etc.
  • Invoice customers for service and repair work, and any extras purchased after install.
  • Liaise with sales re registering spas for warranty.
  • Make warranty claims, sending required parts back to the factory and tracking reimbursements.
  • Issue and collect job sheets, ensuring they are ready for the next day.
  • Ensure vehicles have up to date MOT, service and so on.
  • Book installations of hot tubs and swim spas with oversight of the Senior Tech, and conduct all relevant accompanying checks, including:
      • updating Google drive stock list
      • ensuring efficient installation process by confirming site access with customers prior to delivery of hot tubs and swim spas, as well as ensuring electrical work is ready for instals and a part P certificate is obtained (where possible)
      • ensuring risk assessment checklist is completed prior to delivery of hot tubs and swim spas
      • ensuring customers are aware invoice must be fully paid 1 week prior to delivery, including finance settlement, at time of booking.
  • Order low-running parts as directed by senior tech.
  • Answer telephone queries or direct calls as appropriate.

OTHER:

  • Accept other reasonable duties and responsibilities as required
  • Represent Welsh Hot Tubs as required

SKILLS AND EXPERIENCE:

  • Customer service: 1 year (required)
  • Administrative experience: 1 year (required)
  • Good oral and written communication skills
  • Clean Driving Licence
  • Welsh language skills (desirable)
